Ensuring a safe Conference at the ICC Birmingham

TSA’s 2022 ITEC conference is planned to go ahead on the 28 and 29 March.

The TSA works alongside The ICC Birmingham due to it operating to industry standards and is accredited with the Visit England ‘We’re Good to Go’ industry charter mark. This mark verifies that the venue meets the Government and public health guidance on COVID-19 and that they have all the required health and safety processes in place.

If for any reason government restrictions forbid us however from holding Conference on these dates, we will work with The ICC Birmingham to reschedule conference to an alternative date. Should this be the case, all conference bookings made will be automatically carried over to the rescheduled conference dates. We would then contact attendees immediately to communicate and inform them of this.

Safe Conference
The health, safety and wellbeing of all our attendees and staff is a top priority. Therefore, TSA and the ICC are implementing COVID-19 status checks for all guests on arrival during Conference.

COVID-19 status checking process
The COVID-19 status checking system will operate as follows:

  • 2 x checkpoint areas will be in operation at both attendee entrances into the venue (Mall East and West) and 2 x additional checkpoints for organisers and contractors (Loading Bay A & B).
  • Ahead of each checkpoint will be dedicated signage and a member of staff to support wayfinding and direct visitors to the appropriate checkpoint channel. They will also remind visitors to have their status proof of being Covid-free ready for checking in advance to help reduce the time it takes to access the venue.
  • Each checkpoint will have two channels to access the venue. One will be for visitors who require their COVID-19 status to be checked by a member of our team for the first time. The other will be for visitors re-entering the venue having already been checked within the last 48 hours.
  • Upon reaching the checkpoint for their initial check, visitors will be required to show an accepted method of COVID-19 status proof. Once their proof has been checked by a member of staff, visitors will be given a coloured wristband. This wristband will then be valid for 48 hours.
  • Once a visitor has a valid wristband, they will be able to enter the venue safely to reach their event. They can then easily re-enter throughout their event within a 48-hour period by simply showing their wristband at the designated checkpoint channel. If a visitor is attending an event for longer than 2 days, their original wristband colour will become invalid after this time has passed. In this instance, they will need to get re-checked on the third day to receive another valid wristband.

The accepted methods of showing your COVID-19 status are:

  • NHS COVID Pass via the NHS App
    Please note this is not the same as the NHS COVID-19 Test and Trace app.
    • You can download the NHS app from either the App Store or the Google Play Store

    • It is advised that individuals apply no later than 48 hours before attending to allow for the application to be processed in time
  • Lateral flow or PCR negative test results text or e-mail within 72 hours prior to attending the event
    • You can order free NHS lateral flow tests here, alternatively, you can collect from your local chemist.
    • You MUST register your result on the Government website here –  this will then generate an email or a text message to you confirming the negative status
    • This will also automatically link to your NHS App (mentioned above)
  • Proof of immunity shown by a positive PCR test result for COVID-19, lasting for 180 days from the date of the positive test and following completion of the self-isolation period.
    • If you tested positive for COVID-19 with a PCR test taken within 180 days of your event (including 10 days self-isolation following the result) you are eligible for an NHS COVID Pass as you have natural immunity.
    • You should register for the NHS App (as explained above) and click on ‘Get your NHS COVID pass’. This should automatically display your name and QR Code. If this does not show phone 119.
    • Remember this will only work if you took a PCR test at the time you had COVID-19, NOT a Lateral Flow Test.

If visitors would prefer not to use the app or do not have a smartphone they can obtain a NHS COVID Pass letter (proving vaccination status only) by calling 119 or visiting the NHS website.

Face coverings
In line with the latest Government guidance, all attendees will be required to wear a face covering throughout the venue. With plenty of catering outlets and outdoor space available, there will still be areas across the ICC where face coverings can be temporarily removed to eat and drink.

Cleaning and onsite hygiene
There will be additional cleaning and sanitising in place for the duration of the conference and there are plenty of hand sanitiser stations located around the venue.

To keep everyone as safe as possible we also ask that no one attends the event if: they are displaying symptoms, been asked to self-isolate or live with an individual who has symptoms of COVID 19 at the time.

If you provide a positive COVID-19 test in the days before the event and you are unable to attend the conference, you will be able to send a replacement delegate to the conference or you can transfer your conference booking to the 2023 ITEC conference.
